Job Title: Executive Assistant to the CEO

Location: Remote (Only Outside the US)

Position Type: Full-Time (Pacific Time Zone)

8:00 AM - 5:00 PM PST

Compensation: Competitive salary in USD, with a benefits package including vacation days, wellness days, US federal holidays, and Summer Fridays.

Hiring

Responsibilities:

  • Manage and prioritize the CEO's email correspondence, responding when appropriate and flagging important messages.
  • Proactively remind the CEO of upcoming deadlines, meetings, and tasks to ensure timely completion.
  • Coordinate and schedule meetings, conference calls, and appointments, considering multiple time zones and availability.
  • Collaborate with virtual teams to organize and facilitate meetings, ensuring smooth communication and cooperation.
  • Maintain and update CEO's calendar, ensuring accuracy and consistency.
  • Anticipate potential scheduling conflicts or issues and take proactive measures to resolve them.
  • Assist in preparing meeting materials, agendas, and presentations as needed.
  • Filter incoming communications, including emails and virtual meeting requests, ensuring the CEO's time is optimized and priorities are addressed efficiently.
  • Handle confidential information with discretion and professionalism.
  • Perform tasks and projects as assigned by the CEO.

Requirements:

  • Fluency in English, with excellent verbal and written communication skills.
  • Proven experience as an executive assistant or similar role, preferably supporting C-level executives.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Proficiency in calendar management and scheduling software (e.g., Google Calendar, Calendly, etc.).
  • High level of discretion and confidentiality, with a professional and diplomatic demeanor.
  • Ability to work independently with minimal supervision, while also functioning as an integral part of a team.
  • Flexibility to adapt to changing priorities and work hours as needed.
  • Experience working in a remote or virtual environment is a plus.
